 Why Is My Dashboard's Saved View No Longer Working?

What changed in your filters, date range, or saved view setup, and how to find the issue fast.

If your saved view is no longer showing data, the problem is usually not the view itself. The problem is usually the filters behind it.

Saved views only work when the data in your system still matches the conditions the view is looking for. If those conditions change, the view may appear empty or stop returning the results you expect.

Important reminder

Only the original author of a saved view can update that saved view. If you identify the problem but cannot edit the view, check whether you are the person who originally created it.

The most common reasons a saved view stops working

1. The saved view uses a rolling date range

A rolling date range updates automatically over time. That means the view is always looking at a moving window of data.

If the records your saved view depends on have not received new input within that updated date range, the view may no longer show any results.

Example:
If a saved view is set to show records from the last 30 days, and no matching activity has happened in the last 30 days, the view will appear empty.

2. A service location or client name changed

If your saved view filters by service location name or client name and that name was changed in the system, the saved view may stop returning data.

That happens because the saved view is still looking for the old name. If that name no longer exists, no matching records will be shown.

What to check:

  • Review the service location and client filters in the saved view
  • Confirm the current service location and client names in the system
  • Update the saved view if the name has changed

3. The saved view filters to a person who no longer exists in the system

Saved views often filter by employee, contractor, or contact. If that person is no longer in the system, the saved view may stop showing new data.

This is common after employee turnover or contractor changes.

What to check:

  • Review any people-based filters in the saved view
  • Confirm the employee, contractor, or contact still exists in the system
  • Update the filter if that person has changed or been removed

4. Other filters are too restrictive

Sometimes the saved view is technically working, but the filter combination is too narrow to return any records.

This usually happens when multiple filters stack together and exclude the data you expect to see.

Examples of filters that can affect results include:

  • Partial inspections
  • Origin of a work order
  • Status of a work order
  • Whether an inspection template type was included during the inspection
  • Whether a signature was captured during an inspection
  • Other work order or inspection-specific criteria

If even one of those filters no longer matches the data being created in your system, the saved view may return no results.

How to troubleshoot a saved view

If your saved view is empty or no longer working as expected, check these items in order:

  1. Review the date filter and confirm the date range still includes relevant data
  2. Check whether any service location or client names have changed
  3. Confirm that any employee, contractor, or contact filters still point to active records
  4. Review all other filters and remove or adjust anything that may be excluding valid records
  5. Confirm that you are the original author of the saved view if an update is needed
  6. Test the view after each change so you can identify which filter is causing the issue
